The information on this page refers to License Statistics v4.15 or newer, which made changes and improvements to the way of saving preferences to receive email alerts for license servers that go down. License Statistics users can subscribe to receive email alerts about events that occur for servers and features being monitored using the Email Subscriptions tab from the Preferences page (the Preferences link is located in the upper right corner of the License Statistics page).

The License Statistics events you can subscribe to include:

  • License servers going down.
  • Feature utilization exceeding a specified percentage. For example, you can specify that you want to get an email alert if feature F1 utilization is 80% or greater.
  • Feature expiration. For example, you can specify that you want to get an email alert 60 days before the license for feature F1 expires.

Note that a License Statistics administrator must first enable email notifications as described in Configuring email in order for users to receive email notifications for events.

Setting the email address for receiving alerts

To set or change the email address at which to receive email alerts, use the Account Settings tab, also located in the Preferences page.

Receiving email alerts for the License Statistics license expiring

This alert is available for Administrator users only. This alert option is not visible for other users.

To receive email alerts when the License Statistics license is nearing expiration:

  1. In the License Statistics Events area of the Email Subscriptions tab, select the "License expire" checkbox. (This option is checked by default for the primary Administrator. Other users with Administrator privileges must select this option to enable it.)
  2. Click Save. You will receive an email alert once per the following intervals:
  • 30-15 days before the license expiration date
  • 14-8 days before the license expiration date
  • 7-0 days before the license expiration date

If the alert cannot be sent on the first day of the interval (due to problems communicating with the mail server or the mail server being down), additional alerts will be attempted during that interval until the alert is successful and/or the interval has passed. After an alert is sent successfully, another alert will not be sent until the next interval is reached. If an entire interval passes without an alert being sent successfully, no further alerts for that interval will be attempted.     

Receiving email alerts for exceeding the License Statistics user limit

This alert is available for Administrator users only. This alert option is not visible for other users.

To receive email alerts when the limit for the number of users that License Statistics can monitor (based on your License Statistics license) is exceeded:

  1. In the License Statistics Events area of the Email Subscriptions tab, select the "User limit exceeded" checkbox. (This option is checked by default for the primary Administrator. Other users with Administrator privileges must select this option to enable it.)

  2. Click Save. You will receive an email alert when usage initially increases:
  • From 79% or lower to 80% - 90%
  • From 90% or lower to 91% - 95%
  • From 95% or lower to 96% or higher

When usage remains within one of these ranges, an additional alert will be sent only once per month. For example, if your usage increases from 75% to 82% on October 10, a notification is sent on that day. Then, if on October 20 the usage increases to 91%, another alert will be sent on that day. If the usage stays between 91% and 95%, another notification will not be sent until November 10 (one month after the initial notification) and once a month thereafter until the next threshold of 96% is reached. As soon as the usage increases to 96% or higher, an alert will be sent out on that day.

Receiving email alerts for license servers that go down

A continuous, uninterrupted license server connection is essential to successfully monitor your licenses. The license server status is "Down" when License Statistics is unable to gather the data for this server. An Administrator or a User that is in charge of a given license server can subscribe to receive such email alerts to gain insight into the status of license servers. Each such notification indicates a data loss and informs that actions should be taken to maintain license server connectivity.

To receive email alerts when a license server goes down:

  1. In the License Server Events area of the Email Subscriptions tab, select either the "Subscribe to all" checkbox or select a license server of your choice from the Unsubscribed License Servers grid using the Add button. You can also drag and drop a server of your choice from one grid to another.
    Note: You can subscribe to receive email alerts only for realtime, visible license servers.
    If the "Subscribe to all" box is unchecked, all license servers listed on this page are divided into a Subscribed License Servers grid and an Unsubscribed License Servers grid, as shown below.
     


    Note that if you select the "Subscribe to all" option, you will also receive notifications for all newly added license servers. If you choose to add license servers manually, you will receive notifications only when a specified license server or servers go down, and the newly added license servers will appear on the Unsubscribed License Servers grid.

  2. Click Save. You will receive an email alert when any subscribed and monitored license server goes down. Such email alert will be sent for every unsubscribed license server going down only once, each time when the status of this server is "Down".

An electronic mail notification system periodically scans for a license server with "Down" status, and when it detects such server, it sends an email notification for every License Statistics user subscribed to receive alerts for this  server. Each notification is sent only once, unless the license server status changes. A notification will be resent under the following circumstances:

  • When the license server status is floating between "Up" and "Down", and "Down" status is discovered
  • When a license server that has the "Down" status becomes visible for the user.

When a license server has "Down" status for a longer period of time, the notification will not be resent.

Receiving email alerts for feature utilization

To receive email alerts for features that exceed a specified utilization percentage:

  1. In the Feature Utilization Events area of the Email Subscriptions tab, select the license server, then either select the individual features you want to receive utilization alerts for, or select All to receive utilization alerts for all features.
  2. In the % Utilization box, enter the percentage of utilization that the feature must reach in order for an email alert to be sent. For example, if you enter "80" you will get an email alert whenever utilization rises to 80% or above.
  3. Click Add New. You will see the feature(s) listed in the Feature Subscriptions table.
  4. Repeat the above steps for all features you want to receive utilization alerts for.

Receiving email alerts for feature expiration

To receive email alerts when a feature is nearing its expiration date:

  1. In the Feature Expiration Events area of the Email Subscriptions tab, select the license server, then either select the individual features you want to receive expiration alerts for, or select All to receive expiration alerts for all features.
  2. In the Days to Expiration field, enter the number of days prior to expiration you want to receive an alert. For example, to receive an email one month prior to the feature's expiration, enter 30 for the Days to Expiration.
  3. Click Add New. You will see the feature(s) listed in the Feature Subscriptions table.
  4. Repeat the above steps for all features you want to receive expiration alerts for.
